Due Diligence
Collect vendor information
Gather the vendor's company details, primary contact, tax identification, and banking information for payment setup.

Confirm the vendor holds all required licenses, certifications, and insurance coverage. Request copies of certificates of insurance and verify expiration dates.

Negotiate and sign contract
Finalize pricing, payment terms, SLAs, and liability clauses. Route the contract through legal review and obtain signatures from both parties.

Setup
Set up in payment system
Create the vendor record in the accounting or ERP system. Enter banking details, payment terms, and default GL coding.

Assign internal owner
Designate an internal team member as the primary point of contact for this vendor relationship. This person will manage ongoing communication and performance reviews.

Place initial order or test
Place a small initial order or run a test transaction to verify the entire procurement and payment workflow is functioning correctly.
